office & hr manager - 36 hours per week - on site - start asap

The Office & HR Manager is a key member of the Planet X team, responsible for the smooth and efficient operation of our VFX studio to ensure that the office is a productive and pleasant place for everyone. As an Office & HR Manager, you will oversee the daily facility management, ensuring that everything runs seamlessly.

responsibilities

  • office management
    - Handle incoming telephone calls.
    - Ensure the office is neat, presentable, and properly stocked, making daily rounds.
    - Act as the primary point of contact for office-related issues and facility maintenance
    - Manage office-supply inventory and placing orders for goods and services as needed
    - Coordinate with maintenance providers to maintain a clean, safe office and ensure appliances are functioning properly
    - Organize and coordinate the weekly groceries and daily lunch.
    - Welcome clients and guests to the studio, ensuring NDA compliance.
    - Prepare meeting spaces, ensuring tidiness and availability of refreshments. Organize team activities (in coordination with management ass.)


  • hr & administrative work
    - Act as the point of contact for staff regarding sick leave, absences, overtime compensation, and other HR-related matters.
    - Maintain accurate administration of sick leave, absences, wages, etc. in NMRS.
    - Process SEPA payments for wages and payroll tax.
    - Manage employee contracts (in coordination with management)
    - Handle the onboarding and offboarding of employees, freelancers, and interns.
    - Keep track of employee insurance policies
    - Conduct regular HR meetings with team members (trial period, half way contract, ‘touch base’, contract ending/renewals)
    - Update holiday schedules and coordinate absence notifiers
    - Cover when Assistant Manager and Operations is absent or assistance is needed.
    - Participate in staff recruitment and candidate interviews when required.
    - Book work trips (in coordination with Management Assistant).

requirements

  • Minimum of 5 years of experience in office management, HR, or a similar role.
  • Strong organizational and multitasking skills, with the ability to handle multiple responsibilities simultaneously.
  • Excellent communication and interpersonal skills, maintaining professionalism at all times.
  • Experience with HR administration, payroll, and employee management.
  • Proficiency in office management software and tools (e.g., NMRS, Google Workspace, Microsoft Teams).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive and problem-solving mindset, with a hands-on approach.
  • Fluency in Dutch and English is required.
  • Experience or a strong affinity with the film and television industry, particularly in post-production, is a plus.
